Foley's List Legal Administrative Clerk

Job Role:

  • Deliveries and pick-ups for barristers as required.
  • Sort incoming mail and deliver to barrister chambers or pigeonholes.
  • Twice daily delivery rounds to barrister chambers.
  • Manage movement of fee books; log fee book movements and check fee books for unprocessed fees.
  • Sort and distribute outgoing mail.
  • Manage postage of briefs, inclusive of logging, labelling, wrapping and recording details and postage charges
  • Hand-deliver briefs to solicitors on behalf of barristers.
  • Ensure office equipment is kept stocked.

Foley's List Trust Account and Debt Administration Officer

Job Role:

  • Receipt incoming trust payments via Trustbooks (EFT, cheque and cash)
  • Process trust account refunds
  • LSB reporting as needed
  • Assist with external trust audit (yearly)
  • Payment of counsel invoices from trust via Trustbooks
  • Maintain spreadsheet of trust funds expected to be received and schedule of payments due
  • Monitor trust account inbox and respond accordingly
  • Being the first point of contact for all trust account queries from internal staff, clients, firms and barristers
  • Administrative tasks – scanning and e-filing statements, payments and emails, set up new barristers on Trustbooks and archiving trust ledgers, updating client information and generating new client information
  • Assisting Credit controller with following up overdue accounts, arranging for collection, and preparing standard collection letters in a timely manner
  • Collaborating with Credit controller to optimise the collection of aged debtors and providing regular updates
  • Maintaining the collection notes system on client accounts
  • Raising credit / debit notes
  • Make debt recovery calls during peak periods, maintaining a professional and empathetic approach.
  • Internal audit of trust account to cross check all invoices have been paid, liaise with barristers to keep or refund remaining funds in trust as needed
